Business Alliance HR is recruiting an Executive Secretary & Accounting Assistant for an international development organization located in Jerusalem, Palestine.
Contract Type: Short-term contract for 5 months. Full-time.
Essential Duties and Responsibilities:Maintain the executive’s agenda and assist in planning appointments, meetings, conferences, etc.
Receive and screen phone calls and redirect them when appropriate.
Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages, etc.)
Make travel arrangements for the organization’s employees and missionaries from the HQ.
Coordinate with the driver and manage the travels.
Organize the logistics for meetings and seminars.
Handle confidential documents, ensuring they remain secure; responsible for archives.
Responsible for a part of the accounting and financial management of the agency in relation with the regional office.
Monitor office supplies and negotiate terms with suppliers to ensure the most cost-effective orders.
Maintain electronic and paper records, ensuring information is organized and easily accessible.
Follow-up of the contracts (water, electricity, communication, lease contracts, security, works, etc.)
Follow-up and payments of invoices.
Responsible for the petty cash.
When necessary, limited translation of some documents.
Requirements
In-depth knowledge of office management.
Basic knowledge of accounting procedures.
Excellent organizational and time-management skills.
Outstanding communication and negotiation skills.
Ability to work within tight deadlines (meeting deadlines).
Integrity and confidentiality.
Good command of Microsoft Office and similar tools.
Great sense of organization (keeping files tidy and archived).
Good working knowledge in French and Hebrew, written and spoken is required.
Years of experience:
Minimum 2 years of experience as an office manager, admin assistant, executive secretary or in a similar administrative role.
Education:
Bachelor’s Degree in Business Administration or related field.
Languages Required:
Fluent in Arabic and English.
Working knowledge in French and Hebrew is required.
