About the Role:



TAQA, a joint venture between the Palestine Investment Fund, APIC, and Bank of Palestine, is seeking a proactive and organized Senior Administrative Officer to provide comprehensive administrative and executive support across the company. This role combines office administration, HR assistance, and executive support responsibilities, requiring a dynamic individual with strong communication and interpersonal skills.



Key Responsibilities:



Administrative support:



Answering phones, greeting visitors.

Scheduling appointments and meetings.

Manage meeting room and general office facilities, ensuring readiness for internal/external meetings.

Ordering and managing office supplies.

Maintain records of office expenses, petty cash.

Provide general administrative support to HR-related activities as required.



Communications and document management:



Preparing, editing, and proofreading documents, memos, emails, and reports.

Handling incoming and outgoing correspondence.

Taking dictation and meeting minutes ( for in-house meeting).

Act as a point of contact between management and internal/external stakeholders

Facilitate internal communications and ensure timely follow-up on management directives.

Coordinate company-wide events and staff engagements.



Executive Assistant:



Provide comprehensive administrative and logistical support to the CEO.

Manage calendars, schedule meetings, and handle travel arrangements (flights, accommodations, transport).

Prepare agendas, minutes, and action logs for management meetings.

Draft, review, and edit correspondence, reports, and presentations on behalf of the executives.



Reporting and Support:



Prepare periodic administrative and expenses reports.

Track monitor key deadlines, action points, and office performance indicators.



Deliverables:



Well-maintained and fully operational office environment.

Efficient scheduling, communication, and task management for executives.

Timely submission of administrative reports and documentation.

Organized filing and tracking system for company records.

Professional representation of the company in all administrative interactions.



Qualifications:



Bachelor's degree in business administration, management, or related field.

4-6 years of experience in office administration or executive assistance.

Excellent communication, organization, and multitasking skills.

Proficiency in MS Office suite (Word, Excel, PowerPoint, Outlook).

High level of discretion, integrity, and professionalism.
